EQUIPMENT RECORDS SPECIALIST
Pay Grade B77

Basic Function
Under moderate supervision, maintains equipment inventory and activity records, assigns equipment and schedules maintenance and inspections.

Classification Characteristics
Differs from Stock Clerk in that Equipment Records Specialist maintains inventory and activity scheduling records on rolling stock, while Stock Clerk receives, stores, issues parts, supplies, tools, and equipment in Metro warehouses and storerooms. There is a Lead Equipment Records Specialist who in addition to the regular Equipment Records Specialist duties, is responsible for assigning duties and directing employees in the performance of their work under the supervision of his/her immediate supervisor with whom he/she shall consult in all matters affecting such work. A Leader receives additional pay for each hour worked as stipulated by the appropriate collective bargaining agreement.

Work Environment
In order to achieve Metro’s goals in support of its mission, potential candidates are required to commit and continuously practice and demonstrate the following work values:

Examples of Duties
  • Checks yard and other storage areas to determine the location, condition, and availability of buses, other Metro vehicles, and various equipment
  • Assigns coaches to bus runs and posts assignments on pull-out, cover and tripper sheets, noting any changes which have occurred
  • Receives and records information on maintenance calls from Transit Operations Supervisors
  • Communicates and relays messages to appropriate maintenance supervisor
  • Arranges for coach transfers with other operating divisions
  • Schedules equipment inspections and oil analyses
  • Operates computer to enter, maintain and update records pertaining to equipment service, maintenance, inspection intervals, service calls, fire extinguisher locations, lock and key control, non-revenue vehicles, and other related documents
  • Posts bulletin boards and answers telephone and/or two-way radio calls
  • Contributes to ensuring that the EEO policies and programs of Metro are carried out

Essential Knowledge and Abilities

Knowledge of:

  • Functions and operations of computer terminals and peripheral equipment
  • General office practices and procedures
  • Basic math
  • Complex recordkeeping

Ability to:
  • Operate two-way radio equipment and computer terminals
  • Establish and maintain detailed recordkeeping systems

  • Memorize and accurately transcribe numbers with speed and accuracy
  • Memorize division bus lines

Minimum Qualifications
Potential candidates interested in the EQUIPMENT RECORDS SPECIALIST position MUST meet the following requirements:

  • 2 years of experience performing responsible clerical recordkeeping, inventory control, scheduling, or dispatching duties
  • Valid California Class C driver’s license

Special Conditions
  • May be required to walk considerable distances at assigned Division locations in order to verify the location and condition of Metro equipment
  • New employees must pass a specialized training program for these positions
